Attention

Why this is hard

Sponsorship lasts years. Most systems only record the first day.

Onboarding a sponsored worker is a well-understood process with a clear checklist. What follows is years of employment during which the role, salary, hours, location and permission all change — and nothing in a standard HR process connects those changes back to the sponsored position.
  • The Certificate of Sponsorship describes the role as it was, not as it is.
  • Salary and hours move without anyone re-checking the requirement.
  • Right to Work follow-ups fall due years after the original check.
  • Evidence is collected at hire and then decays.
  • Reportable changes arrive as ordinary HR activity.
  • The person who onboarded the worker has often moved on.

A sponsored worker's record is only useful if it describes them today. Most records describe them on their start date.

Across the lifecycle

What has to stay connected

These are the elements that make up a sponsored worker's compliance position, and each one moves independently.

Certificate of Sponsorship

The sponsored role, salary, hours, occupation code and start date — the baseline everything else is measured against.

Current employment position

Actual role, duties, salary, hours and work location, which drift from the CoS over time.

Salary compliance

Re-assessed whenever pay or hours change, against the applicable threshold and going rate.

Right to Work

Check route, date, outcome and any follow-up requirement, held together rather than as a filed scan.

Appendix D evidence

Recruitment, salary, skill level and additional records, filed against the requirement each one supports.

Reporting history

What was reported, when, and on what basis — the record you need years later.

How Sponsoro works

One record, maintained for the whole sponsorship.

Every change to a sponsored worker updates one record, is assessed against their sponsored position, and leaves evidence behind.
  • Worker onboarded with CoS and evidence
  • Employment changes captured as they happen
  • Each change assessed against the sponsored role
  • Salary, Right to Work and deadlines re-checked
  • Actions assigned, completed and evidenced
  • Record retained through to sponsorship end

Who uses it

For everyone who touches the worker

Sponsored worker management fails when each function holds a different part of the picture.

HR and people teams

Open a worker and see their whole sponsored position, not a folder of documents.

Compliance leads and Level 1 Users

Know which workers need attention this week, and why, without a manual review cycle.

Authorising Officers

See the licence position as the sum of the worker positions underneath it.

Line managers

Understand which of their decisions have a sponsorship consequence before making them.

FAQ

Questions we get asked

What does Sponsoro track for each sponsored worker?

The Certificate of Sponsorship position, current employment details, salary compliance, Right to Work status and follow-up dates, Appendix D evidence across all five areas, and the full reporting and decision history.

Does the record continue after the worker leaves?

Yes. Record-keeping obligations do not end when sponsorship ends, so retention is tied to the worker lifecycle rather than to employment status.

How does Sponsoro know when something changes?

Changes are captured from your own HR and payroll data and from the team, then assessed against the worker's sponsored position and the current rules.

Can I see why a worker was marked compliant?

Yes. Each determination retains the rule applied, the evidence used and the date, so the audit history shows the reasoning rather than just the conclusion.

Know where every sponsored worker actually stands.

Sponsoro keeps one connected record per sponsored worker and re-checks it daily, from the Certificate of Sponsorship through to the end of your retention obligations.
