Replacing compliance spreadsheets

Replace your sponsor compliance spreadsheet

Retire the tracker before it retires your licence.

A spreadsheet records what someone entered on the day they entered it. Sponsoro re-checks every sponsored worker against current rules daily, so your compliance position is calculated rather than remembered.

Why the tracker fails

A spreadsheet cannot tell you what it doesn't know.

Compliance spreadsheets are not badly built. They fail because of what they fundamentally are: a static record of what one person typed, with no ability to notice that the rules changed, the salary moved, or the date passed.
  • It only knows what someone remembered to enter.
  • It cannot re-check a salary when hours change.
  • It has no idea that guidance was updated.
  • Dates pass silently unless somebody opens the file.
  • There is no audit trail of who changed what, or why.
  • It leaves the organisation when the person who built it leaves.

The question is not whether your spreadsheet is accurate today. It is whether anyone would know if it stopped being accurate.

What goes wrong

The failures a tracker cannot prevent

These are the specific gaps that appear when compliance depends on manual entry and manual review.

Silent salary breaches

A change to hours moves the salary position, but the spreadsheet still shows the figure entered at hire.

Deadlines that pass unseen

A reportable change starts a clock whether or not anyone opened the file that week.

Rules that moved on

Thresholds and guidance are updated. A spreadsheet keeps applying the rules in force when the formula was written.

No evidence of the decision

A cell saying 'compliant' does not show which rule was applied, what evidence was used, or who decided.

Single-person dependency

One person understands the structure. When they leave, the organisation inherits a file it cannot fully read.

Version drift

Copies circulate by email, edits are made in the wrong one, and nobody can say which file is authoritative.

How the move works

Import the data, then stop maintaining it by hand.

Sponsoro imports your existing worker data, immediately re-checks it against current rules, and shows you what the spreadsheet was not telling you — then keeps checking.
  • Existing worker data imported
  • Every record re-checked against current rules
  • Gaps and overdue items surfaced immediately

Who benefits

Especially the person who owns the file

Compliance spreadsheets usually have exactly one owner, and that person carries a risk they did not choose.

The person maintaining the tracker

Stop being the single point of failure for the organisation's licence, and stop doing monthly manual reviews.

Authorising Officers

Hold a position backed by continuous checks and an audit trail, rather than by one colleague's diligence.

HR teams

Work from a record that updates when employment changes, instead of re-entering the same facts.

Whoever inherits it next

Compliance knowledge stays with the organisation when people move on.

FAQ

Questions we get asked

Can we import our existing spreadsheet?

Yes. Sponsoro imports your existing worker data and immediately re-checks it against current rules, which is usually the first time an organisation sees what the spreadsheet was not catching.

Is a spreadsheet actually non-compliant?

There is no requirement to use software. The requirements are that you identify reportable changes in time, keep the required records and can produce them on request. A spreadsheet can satisfy those; it just has no mechanism to tell you when it stops doing so.

What will we find when we migrate?

Most organisations find a handful of overdue items, some salary positions that moved when hours changed, and evidence gaps in Appendix D categories. Finding them yourself is considerably better than an officer finding them.

How is this different from our HR system?

HR systems record employment. They do not apply sponsor guidance to it. Our comparison of sponsor compliance and HR software covers the distinction in detail.

Your licence shouldn't depend on a file someone maintains.

Sponsoro re-checks every sponsored worker against current rules every day, keeps the evidence and records who decided what — so compliance is calculated, not remembered.
